Financial closeout is part of the reunion, not an optional task months later. Within the first week, the finance team should confirm household payments, refunds, processor activity, cash, vendor invoices, reimbursements, and remaining obligations. Then the committee can approve what happens to any surplus and preserve a useful record for the next organizer.

Reconcile incoming money

  • Match every online payment to a household registration.
  • Record cash, checks, sponsorships, donations, and merchandise income.
  • Confirm waived fees and hardship assistance were authorized.
  • Identify duplicate, failed, disputed, or unmatched payments.
  • Compare processor totals and payouts with the financial account.

Reconcile expenses and commitments

  • Collect final invoices and receipts from every committee lead.
  • Match deposits with final vendor charges.
  • Record approved reimbursements and outstanding bills.
  • Separate refundable deposits from actual expenses.
  • Document lost deposits, damage charges, or disputed vendor amounts.

Resolve household adjustments

Review cancellation and refund requests, changed attendance, overpayments, underpayments, and installment balances. Process approved refunds through the original payment route when possible and update the household status. Do not delete paid records simply to make the list look complete.

Approve the remaining balance

The committee should decide whether surplus funds seed the next reunion, support a family project, remain in reserve, or are returned according to the published policy. Record the vote or approval. Do not let leftover funds remain indefinitely under one person's informal control.

Publish a useful summary

Report total money received, expense categories, assistance, refunds, outstanding obligations, and the final balance. Household-level payment details should remain private. Save the budget, actual results, vendor contacts, contracts, receipts, and lessons learned for the next planning team.

Closeout target: complete a preliminary reconciliation within seven days and a final report after the last vendor charge, refund, or dispute is settled.
