Family Reunion Payment Chargebacks and Disputes: Organizer Guide

Protect reunion records and respond calmly when a household disputes a card payment.

A chargeback is not the same as asking the reunion committee for a refund. It begins when a cardholder disputes a payment through the card issuer, and Stripe then applies a formal process with a reason, response deadline, and evidence requirements. The organizer should review the exact dispute in Stripe, preserve the related GatherKin registration, and avoid issuing a second refund while the same charge is actively disputed.

Prevent confusion before collecting money

Use a recognizable statement descriptor, show the family name and event dates at checkout, publish the refund and cancellation policy before payment, and send an immediate receipt. The household should be able to match the charge to a registration without asking which relative collected it. Keep organizer contact information current so a family can ask about an unfamiliar charge before contacting its bank.

GatherKin connects the household name, event, amount, and payment status. Organizers should also retain approved fee rules, attendee changes, refund decisions, and relevant family communications.

What to do when a dispute appears

  1. Open the dispute in the Stripe Dashboard and note the reason and deadline.
  2. Match it to the correct event, household registration, payment, and connected account.
  3. Decide whether to accept the dispute or challenge it based on truthful records.
  4. Submit only relevant evidence through Stripe before the deadline.
  5. Record the outcome in committee financial reports and adjust the household status carefully.

Do not pressure the family publicly or include payment details in a group chat. One finance lead should communicate privately and keep the committee response consistent.

Evidence that may help

The useful evidence depends on the dispute reason. It can include the registration confirmation, checkout description, published refund policy, event details, proof that a refund was already processed, and direct communications about attendance or cancellation. Stripe provides reason-specific evidence guidance; more pages are not automatically better. Evidence should be factual, legible, and tied directly to the disputed transaction.

If the household says the dispute was accidental, direct the cardholder to its issuer and continue following Stripe's case instructions. Do not assume a verbal promise to withdraw closes the dispute.

Understand Stripe Connect responsibility

Stripe explains that dispute responsibility depends on the Connect charge type and who is responsible for negative balances. Direct charges, destination charges, and separate charges and transfers can place debits and response duties differently. Review the actual payment and connected-account configuration in Stripe rather than relying on a general reunion policy.

See Stripe's official Connect disputes documentation and reason-specific evidence guidance. This page is operational guidance, not legal or financial advice.

Build a committee response rule

Name the person allowed to review disputes, require a second committee member for unusual decisions, and reconcile disputed funds separately from ordinary refunds. Keep enough reserve to avoid promising money already committed to a venue or caterer. After the case closes, update the household record and explain the result privately without deleting the audit trail.

Frequently asked questions

Can an organizer refund a payment after it becomes disputed?

Do not issue a second refund without reviewing the active Stripe dispute. Stripe states that a disputed charge cannot be refunded while the issuer is deciding the case.

Who pays a Stripe Connect chargeback?

It depends on the charge type and the connected account's loss-liability configuration. Review the specific dispute and current Stripe Connect documentation.

Should a disputed registration be deleted?

No. Preserve the registration, payment references, communications, and status until the dispute and any committee decision are fully reconciled.
