To get a family reunion catering headcount, confirm which adults and children will attend each meal, total those responses separately, and agree with the caterer on the final count and deadline. Your event registration total is not automatically your meal order. Use the printable worksheet below to separate confirmed attendance from unanswered invitations and any extra meals you choose to order.
Start with three different numbers
Registered guests are people listed for the reunion. Confirmed meal guests are people whose attendance at a specific meal has been checked. Ordered meals are the portions you agree to purchase after reviewing the menu, vendor rules, and any explicit reserve. Keep these numbers separate: a household arriving Saturday cannot be counted for Friday dinner just because it registered for the weekend.
This worksheet assumes a three-meal reunion and adult/child categories. Replace those categories with the vendor's actual age bands and meal options. A child headcount is not a universal half portion or discounted price. Ask whether infants need a seat or meal, whether vendors include staff meals, and how special meals count toward the total.

| Meal and date | Adults confirmed | Children confirmed | Not yet answered | Confirmed on |
|---|---|---|---|---|
| Friday dinner: ______ | ______ | ______ | ______ | ______ |
| Saturday cookout: ______ | ______ | ______ | ______ | ______ |
| Sunday breakfast: ______ | ______ | ______ | ______ | ______ |
Household reference: __________ Committee owner: __________
Vendor final-count deadline: __________ Household response deadline: __________
Use a private reference rather than publishing household names or dietary details. Record an explicit zero for a meal the household will not attend; a blank means unanswered, not zero. Confirm changes with one registration lead so two committee members do not count the same update twice.
Committee catering summary
| Meal | Confirmed adults | Confirmed children | Explicit extra portions | Agreed order total |
|---|---|---|---|---|
| Friday dinner | ______ | ______ | ______ | ______ |
| Saturday cookout | ______ | ______ | ______ | ______ |
| Sunday breakfast | ______ | ______ | ______ | ______ |
For a one-meal-per-person order: order total = confirmed adults + confirmed children + separately approved extra portions. When the vendor offers different adult and child packages, submit separate quantities instead. Treat a reserve as a deliberate budget decision, not an assumed percentage that guarantees enough food. Keep unresolved responses visible and decide whether to follow up, wait, or order a documented reserve before the deadline.
Worked example: 80 registered guests, three different meal counts
Suppose 55 adults and 25 children register for the weekend. All figures below are fictional planning examples, not typical attendance rates. Friday arrivals include 32 adults and 12 children. All 80 attend Saturday. Sunday departures leave 27 adults and 10 children for breakfast.
| Meal | Adults | Children | Total |
|---|---|---|---|
| Friday dinner | 32 | 12 | 44 |
| Saturday cookout | 55 | 25 | 80 |
| Sunday breakfast | 27 | 10 | 37 |
That is 161 confirmed meal attendances, not 240. Ordering for all 80 guests at every meal would add 79 portions before any reserve. It does not follow that you save a fixed dollar amount: minimum orders, staffing, rentals, taxes, package prices, and vendor contracts can change the cost. Request a revised quote using the actual counts.
Next, use the food quantity calculator to estimate portions for each meal's menu. Headcount and food quantity answer different questions; neither overrides a vendor's confirmed package terms.
Copy-ready household confirmation messages
Initial confirmation
Hi [name], we are confirming meals for [reunion]. Please reply by [date] with adults and children attending Friday dinner, Saturday cookout, and Sunday breakfast. Please enter zero for any meal you will skip. Our vendor needs the final count on [date]. Contact [organizer] privately about meal requirements.
Unanswered reminder
Hi [name], we still need your household's meal counts for [meals]. Could you confirm by [time and date]? Being registered for the weekend does not tell us which meals you will attend. If plans are uncertain, please let [organizer] know before the vendor deadline.
Change confirmation
Thanks, [name]. We have recorded [adult count] adults and [child count] children for [meal]. Changes after [deadline] require committee and vendor review; we cannot promise an added meal until availability is confirmed.
Use the RSVP deadline calculator to work backward from your vendor deadline. For late changes, follow one registration exception process rather than making conflicting promises.
Review privately, then send the vendor an agreed total
- Check duplicate households, cancellations, arrival and departure times, and explicit zero responses.
- Verify vendor age categories, package minimums, final-count timing, and change charges in writing.
- Clarify which special meals replace a standard meal rather than adding another portion.
- Ask the vendor directly about allergy accommodations and cross-contact; a preference note is not a safety guarantee.
- Keep sensitive meal requirements private and share only the necessary details with the people preparing food.
- Date the approved summary and ask the vendor to confirm receipt and the revised order.
GatherKin provides household registration and reunion details in one shared event flow. Start with a free Cookout event, or review reunion plans for optional meal-preference collection, itineraries, and household assignments. The meal-by-meal worksheet on this page remains a separate committee tool; GatherKin does not automatically create a catering order from it. Frequently asked questions
Is the reunion registration total the catering headcount?
Not necessarily. Confirm attendance separately for each meal, especially when households arrive late or leave early.
Should children count as half a meal?
Do not assume that. Use the caterer's actual age bands, portions, and pricing categories.
How many meals are needed for 80 weekend guests?
It depends on each meal's confirmed attendance. In the fictional example here, 44 Friday guests, 80 Saturday guests, and 37 Sunday guests total 161 meal attendances.
Does this worksheet automatically sync with GatherKin?
No. Print or save the worksheet and maintain the meal summary separately; use GatherKin for household registration and the features included in your selected plan.
